1. Who is responsible
This policy explains how TranslatorPub.com, including TP Language and Creative Hub and TP Creative (together “TranslatorPub”, “TP”, “we”, “us”) process personal data when you visit the site, register, use the dashboard, e-mails, feeds and APIs, or contact support. TranslatorPub is the controller for this processing.
Contact us through a support ticket at https://www.translatorpub.com/contact. You don’t need an account, and every ticket is answered by our team. Choose the topic “Privacy and data” for any privacy question or request.
2. Data we collect
- Account data: name, e-mail address, password (stored only as a secure hash), role (linguist or creative, agency, client, association).
- Profile data you choose to add: display and legal name, organisation, country, time zone, phone, website, CV link, bio, language pairs, services, rates, domains, tools, credentials, availability, years of experience, profile photo or logo.
- Activity data: jobs you post, quotes and applications, messages, saved searches, support tickets, directory contact reveals, and invitation or campaign responses.
- Billing data: plan, subscription status and payment references from our payment provider. We don’t receive or store your full card or bank details.
- Technical data: IP address, device and browser information, and security and error logs.
- Data from others: jobs and applicant details sent by partners through the Partner API; public tender notices from official open-data sources; and, for invitations, business contact details that were published by you or your organisation, or that you gave us before.
3. Why we use it and legal bases
- To create and run your account, show your profile, match you with jobs, pass quotes and applications on, deliver messages and provide support. Legal basis: performance of our contract with you (GDPR Art. 6(1)(b)).
- To bill paid plans, keep accounting records and meet tax and legal duties. Legal basis: contract and legal obligation (Art. 6(1)(b), (c)).
- To keep the Platform secure, prevent fraud, spam and abuse, and enforce our Terms. Legal basis: legitimate interests (Art. 6(1)(f)).
- To send job alerts you enabled and reminders about open tickets or invitations. Legal basis: contract, or legitimate interests; you can switch them off any time.
- To send newsletters and product updates. Legal basis: your consent (Art. 6(1)(a)), which you can withdraw at any time using the unsubscribe link or Settings.
- To invite professionals and organisations to join, using business contact details that are publicly available or were provided to us. Legal basis: legitimate interests in growing a professional network. Every invitation explains why you are receiving it and has a one-click decline link. We respect that decision permanently.
- To improve the Platform with aggregated statistics. Legal basis: legitimate interests.
4. Consent you give at registration
When you register we ask you to confirm the Terms and this Privacy Policy, and to agree that TranslatorPub processes your profile data to run your account, show your profile to other members and match you with work. Without this we can’t provide the service. Marketing e-mails are a separate, optional choice. We record the date and version of what you accepted.
5. Who receives your data
- Other members, only as needed: for example, your directory profile to signed-in members, your quote to the job poster, and contact details only when a paying member reveals them (each reveal is logged and you can choose “platform messages only”).
- Partners: when you apply to a job received through the Partner API, your application is returned to the partner who published it, as the job page says.
- Service providers who process data for us under contract: cloud hosting and database providers, e-mail delivery (Amazon Web Services), payments (PayPal), and our business mailbox provider (Microsoft).
- Authorities or advisers, where the law requires it or to protect rights and safety.
- We never sell personal data and we don’t share it for cross-context behavioural advertising.
6. International transfers
Some providers process data in the United States and other countries outside the EU/EEA and UK. Where required, transfers are protected by an adequacy decision (such as the EU–US Data Privacy Framework for certified providers) or by the European Commission’s Standard Contractual Clauses and the UK addendum, plus additional safeguards.
7. How long we keep data
- Account and profile data: for as long as your account is open. When you close your account, your profile is removed from the Platform straight away. If you ask us to delete your data, we delete it, or anonymise it, within 30 days, except for the records listed below. Photos and logos are deleted with the profile.
- Messages, quotes and job records: for the life of the account. After closure we keep them only as long as the other member reasonably needs them for their own business records, an ongoing contract or a dispute.
- Billing and accounting records: as long as tax law requires (typically 6–10 years).
- Support tickets: up to 3 years after closing.
- Invitation records: until you decline or unsubscribe, then only a suppression record, so we never contact you again. Unanswered invitations are deleted after 90 days.
- Security logs: up to 12 months.
8. Your rights
Depending on where you live, you have the right to access your data, correct it, delete it, restrict or object to processing (including direct marketing, at any time), receive it in a portable format, and withdraw consent without affecting earlier processing. California and other US state residents also have the right to know, delete and correct data, and to opt out of sale or sharing (we do neither), and will not be discriminated against for using these rights.
To use your rights, open a support ticket with the topic “Privacy and data”. We may need to verify your identity. We answer within one month (45 days for US state requests).
You also have the right to complain to a data-protection supervisory authority, in particular in the country where you live or work.
9. Security
We use encryption in transit, hashed passwords, role-based access, audit logs for contact reveals and administrative actions, and signed webhooks for partner integrations. No system is perfectly secure. Please use a strong, unique password.
10. Children
The Platform is for professionals aged 18 and over. We don’t knowingly collect data from children.
11. Automated decisions
We use automated matching to show relevant jobs and to rank quotes by fit (language pair, service, domain and similar criteria). It doesn’t produce legal or similarly significant effects on its own. The job poster always decides who gets the work, and our team reviews registrations and partner requests.
12. Changes
We will post updates here and tell members about material changes by e-mail or in the dashboard.
